Privacy notice
Effective: October 1, 2026 · Last updated: October 2, 2026
This notice explains what happens to information about you when you visit ortivs.ai, write to us (including with the help of the concierge on the site) or interact with our pages on social media. The site is run by Ortivs Intelligence, LLC, a Florida limited liability company ("Ortivs", "we"). You can reach us at privacy@ortivs.ai.
It covers the public website, our public mailboxes and our social media pages. The Ortivs platform that customers sign in to has its own terms and privacy commitments.
The short version
- Browsing the site: we count visits with Microsoft Clarity, set up so it uses no cookies and can't see any text on the page or anything you type. There are no ads and no other trackers.
- If you email us, including with the concierge's help, we keep what you wrote and your contact details so a person at Ortivs can answer you. AI tools may help that person, and the person decides every reply.
- On our social media pages, our tools do two things: publish posts a person has approved, and read totals for our own pages. They don't read profiles, comments or messages.
- We don't sell your information and we don't use it for advertising.
- To ask what we hold, fix it or delete it, write to privacy@ortivs.ai.
When you browse the site
The site is a set of static pages hosted on Microsoft Azure Static Web Apps. Our own code does not set cookies or use browser storage (localStorage or sessionStorage), and the site has no advertising pixels. Fonts and images load from ortivs.ai itself, not from outside font or content networks.
To learn which pages people read and where they came from (for example, one of our social media posts), the site uses Microsoft Clarity, an analytics service from Microsoft. We set it up in two ways that protect you:
- No cookies. Our Clarity account is set to use no cookies, and the site also tells Clarity on every page that it may not store anything in your browser. So nothing is saved in your browser, and each page you open counts as a separate visit. Clarity can't recognize you when you come back.
- All text hidden. Every word on the page and everything you type, including your request in the concierge, is hidden from Clarity before anything leaves your browser.
Clarity receives technical details about the visit: your browser and device type, the page, the page you came from, roughly where in the world you are, and how you scroll and click. It keeps short replays of page visits with all text hidden. Microsoft handles this under its own privacy statement (https://privacy.microsoft.com/privacystatement). We use these numbers only to see which pages and posts bring people to the site, never for advertising, and we don't combine them with anything else we know about you. The site works the same if a blocker stops Clarity.
Like any web host, Microsoft's servers receive the technical details your browser sends with each request, such as your IP address, browser type and the page you asked for. We haven't set up any logging on the website itself.
The concierge works out your language (English or Spanish) from what you type, and you can switch it yourself. That choice lives only on the open page and is gone when you leave. The concierge puts text on your clipboard only when you ask it to: when you press "Copy the email", or when you open a very long request in your email app, so you can paste the full text.
When you use the concierge
The concierge helps you write your request. It runs in your browser and sends nothing by itself.
You give it:
- your request, in your own words, and any answers to follow-up questions;
- your name, work email, organization, role (optional) and your relationship to Ortivs (prospective client, current client, partner or other);
- your agreement, through the checkbox, for us to keep the request and reply to you.
When you press "Prepare my email":
- Your own email opens (your mail app, or Gmail or Outlook in the browser if you pick them) with a message to hello@ortivs.ai that holds your request and the details above. You can copy the message instead.
- Nothing reaches Ortivs until you send that email yourself. Your email provider handles it on the way, under its own terms.
- When it arrives, it's kept in Ortivs's mailbox in Microsoft 365.
- A person at Ortivs reads it and replies. Software, including AI tools from Anthropic (Claude) and OpenAI (ChatGPT), may help that person sort the request and draft a reply. The person decides what is sent. We aim to reply within 1 business day.
You can also write to hello@ortivs.ai directly, without the concierge. We handle those emails the same way.
We don't use your request to train AI models.
If the conversation goes further, a person at Ortivs may turn your request into a client or partner record, a support case or a project.
Our social media pages
This section covers Ortivs's own business pages on LinkedIn, Facebook and Instagram. The platforms themselves (LinkedIn, and Meta for Facebook and Instagram) handle your information under their own privacy policies.
We connect our pages to our own tools through each platform's official API, and only to:
- publish our posts. A person at Ortivs approves every post before it goes out;
- read totals for our own pages and posts, such as followers, reach, impressions and engagement. These totals don't identify the people behind them. We use them to learn which posts are useful.
Our tools don't read anyone's personal profile, friends, contacts, comments or messages, and we don't buy or import lists of people.
If you comment on or message one of our pages, a person at Ortivs reads it on the platform itself. If you ask about working with us, that person may add your name and what you asked to our records so we can follow up. We then handle it like any other request, as this notice describes.
We keep the page and post totals for as long as they're useful to us. The keys that connect our pages are kept in protected storage that only Ortivs controls, and we can withdraw them at any time in each platform's settings.
Why we use it
We use your information to answer the request you sent us, to run our own social media pages and to count visits to the site. If you're in the EU or the UK, our legal bases are your consent (the concierge's checkbox), the need to answer the request you sent us, and our legitimate interest in running our own pages and knowing which of them people read.
Who else handles it
We use a small number of service providers:
- Microsoft Azure hosts the website.
- Microsoft 365 holds the Ortivs mailboxes that receive your email and that we reply from.
- Anthropic (Claude) and OpenAI (ChatGPT) provide AI tools that may help a person at Ortivs sort a request and draft a reply. When they're used, the text of your request goes to that provider.
- LinkedIn and Meta run the platforms where our social media pages are.
- Microsoft Clarity counts visits to the site, without cookies and with all text hidden (see "When you browse the site").
Microsoft processes the information in Azure and Microsoft 365 for us under its data protection terms. Microsoft Clarity, Anthropic, OpenAI, LinkedIn and Meta handle it under their own terms and privacy policies.
We don't sell personal information, and we don't share it for targeted advertising. We may disclose information when the law requires it.
Where it's kept
Your email and our reply are kept in Ortivs's Microsoft 365 mailboxes in the United States. Anthropic and OpenAI are US companies. If you write to us from outside the US, your information is transferred to the US. For visitors in the EU or the UK, the transfer to Microsoft relies on the standard contractual clauses in Microsoft's data protection terms.
How long we keep it
If a request doesn't become a client relationship, a project or a support record, we delete it within 6 months of receiving it.
If a request becomes part of a client relationship, a project or a support record, we keep it for as long as that relationship needs it.
Clarity keeps visit replays for 30 days and visit counts and heatmaps for 13 months, then deletes them. We don't save or label replays to keep them longer.
How we protect it
See our Security page.
Your rights
Depending on where you live (for example the EU, the UK or California), you may have the right to:
- ask what information we hold about you and get a copy;
- have it corrected;
- have it deleted;
- object to or limit how we use it;
- withdraw your consent at any time. This doesn't affect what we did before you withdrew it.
Write to privacy@ortivs.ai, ideally from the address you wrote to us from. We may ask you to confirm it's you. We'll reply within 30 days, and a person at Ortivs reviews every reply. We won't treat you differently for asking. You can also complain to the data protection authority where you live.
Deleting your information
To have us delete what we hold about you, whether you wrote to us by email, through the concierge or on one of our social media pages:
- Email privacy@ortivs.ai with the subject "Delete my data". Include the email address, name or social media handle you used with us.
- We delete what we hold about you within 30 days and tell you when it's done. If the law requires us to keep something, we'll tell you what and why.
You can also delete your own comments on our social media pages directly on that platform at any time.
Children
The site isn't meant for anyone under 16, and we don't knowingly collect their information. If you think a child has sent us information, write to privacy@ortivs.ai and we'll delete it.
Changes to this notice
When we change this notice, we'll post the new version here with a new date.
